What we collect
- Request form: when you ask to be matched with a practitioner, we collect your name, contact details, country, time zone, preferences (such as language, practitioner and budget), and anything you choose to tell us about what brings you to counselling.
- Your account and bookings: your name, email address, login details, and the dates and times of your sessions.
- Payments: payments are processed by Stripe. We do not see or store your full card number.
- Sessions: sessions take place over Zoom. We do not record sessions.
- Email updates: if you sign up for updates, we collect your name and email address.
- Job applications: if you apply through our Careers page, we collect the details and documents you send.
- Website use: basic technical information such as your IP address and browser type, and cookies as described in our Cookie Policy.
Why we use it
- To match you with a suitable practitioner and set up your account.
- To book, remind you about, reschedule and hold your sessions.
- To take payment and keep financial records.
- To reply to your messages and send updates you asked for.
- To keep the website secure and working properly.
- To meet our legal and professional obligations.
We only collect what we need for these purposes. Information about your mental health is sensitive, so we only collect it with your express consent. You can withdraw your consent at any time, although this may mean we can no longer provide some services. Some information, such as your name and email address, is needed to book sessions; without it we cannot provide our services.
If you are in the United Kingdom or the European Union, we rely on these legal bases:
- Your explicit consent for information about your health and for optional cookies
- Performing our agreement with you for your account, bookings and payments
- Legal obligations for financial and professional records
- Our legitimate interests in keeping the website secure and answering enquiries
We do not make decisions about you by automated means alone, and we do not use your information for advertising or profiling.
Who we share it with
We never sell or rent your information. We share it only with the service providers that help us run our practice, and only as much as they need:
- our website hosting provider
- Stripe, for payments
- Zoom, for online sessions
- our email provider, for messages and booking notifications
- the practitioner you are matched with
We may also disclose information when the law requires it, or when there is a serious risk of harm to you or someone else.
Where your information is stored
Some of our service providers store information outside Canada, for example in the United States or Europe. When that happens, your information is protected by contract and by the provider’s security measures, but it may be subject to the laws of that country. Where information from the United Kingdom or the European Union is transferred, we rely on safeguards recognised under those laws, such as adequacy decisions or standard contractual clauses.
How long we keep it
We keep your information only as long as we need it for the purposes above, or as long as the law and professional record-keeping rules require. After that, we delete it or make it anonymous.
How we protect it
The website uses an encrypted (HTTPS) connection. Access to your information is limited to the people who need it to support you, and our accounts are protected by passwords. No system is completely secure, so please contact us straight away if you think your information has been put at risk. If a breach creates a real risk of harm, we will tell you and the relevant regulator as the law requires.
Your rights
You can ask us to:
- show you the information we hold about you
- correct information that is wrong or incomplete
- delete your information, where we are not required to keep it
- stop sending you updates
To make a request, email support@thatsafehaven.com. We will reply within 30 days.
If you live in the United Kingdom or the European Union, you also have the right to object to or restrict how we use your information, and to receive a copy of it in a portable format.
Complaints
If you have a concern, please contact us first so we can try to put it right. You can also contact a privacy regulator:
- Canada: Office of the Privacy Commissioner of Canada
- Ontario (health information): Information and Privacy Commissioner of Ontario
- United Kingdom: Information Commissioner’s Office
- European Union: the data protection authority in your country
Cookies
We ask for your permission before placing any cookies that are not needed for the website to work. You can change your choice at any time using the “Manage consent” tab at the bottom of the screen. See our Cookie Policy for details.
We do not track visitors across other websites. Optional cookies stay off until you accept them, whatever your browser’s “Do Not Track” or Global Privacy Control setting.
